The SPM Loaner Solution simplifies and streamlines vendor tray management. This software coordinates upstream touchless communication between the scheduling team and vendor. Stakeholders are alerted regarding key events, and the sterile processing department (SPD) is provided with the tools and information needed to ensure on-time delivery and traceability of vendor trays.

Instant Visibility
Based on direct input from vendor representatives, loaner trays will be posted to the SPM Needs List and Loaner Order in real-time. This will allow you to better plan for incoming loaner tray volume and ensure all technicians know their priority status once they arrive.
Improved Traceability
As loaner trays enter the department, they will receive an SPM-identifiable barcode label. This will allow you to scan loaner trays alongside your owned inventory through all steps of your reprocessing workflow, easing the case cart build process and providing improved traceability to the patient and procedure.
How SPM Loaner Solution Works
From the moment a surgical procedure is scheduled, the CASE ID and notes are immediately transmitted to SPM through an interface with the hospital's electronic medical records system. This information is then paired with the vendor representative based on the procedure information and case notes. Once paired, a notification is sent to the vendor advising them of their involvement in the case. Vendors can confirm the order, view the case, and select appropriate trays from the SPM Master Loaner Database. These trays are then added to the SPM Needs List to alert SPD of incoming trays so they can plan accordingly.
When instrument trays arrive at the facility, they are checked in at the SPM Loaner Kiosk and verified against the vendor-driven loaner order. Unique barcodes are printed, pictures can be associated with each loaner tray, and the delivery can be validated for completeness against the loaner order before being processed in sterile processing. At any step in the process, the operating room (OR) and vendor have the visibility of tray location and can be confident they are procedure-ready. Once the procedure is completed, trays are returned to the SPD, where they are scanned and decontaminated. The vendor is notified in real-time when they are ready for pick-up.

What is a loaner tray?
Loaned instruments, or loaner trays, are any devices not owned and stored by the healthcare facility. Instead, they are usually loaned by the device manufacturer to hospitals for use in specific procedures. Once received, the hospital is responsible for cleaning, decontaminating, and sterilizing the devices and must follow all facility policies and procedures as if they were a hospital-owned device coming into decontamination.
What is a loaner order?
A loaner order allows you to document the ordering and receipt of loaned instruments. Each loaner order is tied to the unique CASE ID the loaner trays are required for and the vendor and vendor rep who will be providing the loaner trays.
What is a loaner management system?
A loaner management system is an electronic method for tracking loaned instrumentation alongside needed and consigned trays. A loaner management system coordinates upstream communication between the scheduling team and vendor while providing status updates to all stakeholders as loaned instruments are requested, received, used, and ready for return.
